Overview
WishWave helps communities celebrate birthdays. This policy explains what we collect, how we use it, who we share it with, and the choices you have.
Sources of Data
We receive information (1) from Discord when you invite or interact with the bot, and (2) from our website when you view pages, post wishes or media.
Information We Collect
- Discord server data: identifiers and configuration you allow the bot to use (e.g., guild ID and name, allowed channel IDs, tagging mode, member count) and related timestamps.
- Member profile data: account identifiers and basic profile, visual elements (e.g., avatar/banner), profile flags/settings, servers you share with the bot, notification preferences for DMs, and record timestamps.
- Birthday settings: birthday date, timezone, scheduling metadata, and which servers advertise your birthday.
- Wishes & media: wish text and display name, media URLs (images/GIFs), optional avatar shown on the wish, source (web or Discord), visibility and counters, and DM publish permission state.
How We Use Information
- Schedule announcements at the correct local time using your timezone.
- Generate and host celebration pages and sync wishes between Discord and the web.
- Send DMs for publish permissions and to share birthday links.
- Enable cross-server celebrations for guilds you choose to advertise to.
- Moderate content, prevent abuse, secure our services, and improve features and UX.
Legal Bases
We process data to perform our contract with you and server admins; based on our legitimate interests in providing a reliable, secure, and improved service; and to comply with legal obligations. Where required, we rely on consent (for example, to publish certain Discord wishes to a public page).
Retention
- Server and member records are created when the bot joins a server or when you provide information via bot commands or our web app. We delete these records upon a valid request.
- Birthdays & wishes are retained until deleted following a valid request.
Sharing
We do not sell personal data. We share information with infrastructure and service providers (e.g., hosting, storage, analytics, media delivery) to operate WishWave, and with moderators or law enforcement when legally required or to prevent harm. Wishes on public pages are visible to anyone with the link.
International Transfers
Data may be processed in countries other than your own. We use reputable providers and appropriate safeguards for cross-border transfers when required.
Security
We use technical and organizational measures to protect data. No system is perfectly secure, but we work to prevent, detect, and respond to incidents.
Your Rights & Choices
- Set, update, or delete your birthday in Discord at any time.
- Choose which servers announce your birthday using
/birthday servers. - Control DM notifications with
/set notify dm. - Depending on your location, you may request access, correction, deletion, portability, or objection/restriction. Contact us to exercise these rights.
Children
WishWave is not intended for children under 13 or the minimum age in your country. Do not submit birthdays for users under that age.
Changes
We may update this policy. We will post changes here and update the “Last updated” date below.
